Simple definition

A Microsoft Purview retention label applies a retention or deletion rule to specifically identified content.

Technical definition

A retention label can define how long an item must be retained, what happens when the period expires, and, depending on configuration, records-management properties.

What is it used for?

Manage the lifecycle of specific items such as invoices, contracts, emails, or documents independently of a broader retention policy.

Practical example

An invoice can receive a label that requires ten years of retention before deletion or review.

Common issues

  • The start point of the retention period is misunderstood
  • A label is applied to the wrong content or cannot be removed under the configured rules
  • Another retention or deletion rule appears to conflict with the label

How it works / role

When the label is applied, Purview associates the configured lifecycle rule with the content. The service calculates the retention start and expiry from the selected trigger, prevents permanent deletion while retention is required, and performs the configured action when the period ends.
